Concert Program – Giving a successful concert means taking care of many details. Obviously, preparing the music is most important (and comes with its own processes and challenges). Yet sometimes logistics feel like the hardest part. You must enforce a dress code, make sure students arrive on time, set up and manage the facility, and more. What you don’t have time for is printing a concert program.

Programs are worth the time and effort. A concert program shows students that a performance is an important formal event that must be respected. They are part of the culture and ritual of concerts and parents will expect it. They also provide families with a tangible memento to include in a scrapbook or keepsake box.

Of course, repertoire selection requires more than just retrieving old pieces, but if time permits, it can be helpful to include a classical title. If you can refer to old shows, you’ll know exactly what was played.

The inclusion of a title page identifies the concert and improves the structure of the program. Adding a simple image can help identify the theme of the event (for example, for a holiday or a spring concert). Be sure to include a time, date, and location. Finally, give your concert a title. “Metroville High School Concert” is good – it doesn’t have to be rocket science.

Most of the program has to tell the audience what they are going to hear. This means that the titles of each selection, the composers (and possibly arrangers) and which ensemble performs are stated. My experience is that several ensembles almost always perform at a school concert and the audience wants to know who is playing what. If there is a break or changes in the performance, this is also included in the program. Resist the temptation to make this information pretty rather than functional.

Mentioning the artists adds a personal touch – grandma loves seeing little Johnny’s name on the programme. Some programs leave it out, but I think it’s important and always include it. In the interest of time and effort, I do not recommend sorting the students by instrument. An alphabetical list of ensemble members is sufficient. I recommend copying and pasting from your official class schedule to make sure you don’t misspell someone’s name or leave someone out.

Somewhere in the program you should acknowledge and thank the school administration, staff, parents, any cheer groups that support your ensemble, and the entire music faculty. Of course you (or your MC) also do it out loud during the concert, but thanking people twice can never hurt.

Once you’ve downloaded the .ZIP file, double-click it to expand it and choose between the spring or winter templates. Both are printed on a single 8.5″ x 11″ sheet of paper (but make sure you set it up to print on both sides). By printing on one page, you don’t need to staple anything. Because it is a standard size, you don’t need to search the copy space for a specific type of paper.

After printing it, all you have to do is fold the page in half. You can do it yourself the night before (possibly with a glass of wine) or have each student fold two programs in class on the day of the concert. It’s a piece of calling work (or an exit strip) that takes less than a minute. If a student creates origami or airplanes instead of a properly folded program, explain that you make sure to save the airplane program for that student’s parents so they can appreciate their student’s work.

The programs I have described so far are very simple, cheap and quick to produce. This is often exactly what ensemble directors need. If you want to take things to another level, here are some ideas to try:

To really take it a step further, you can sell ads in your app to local businesses. It’s not something I have experience with – I’ve always been into making apps as quickly as possible – but it could end up being a great way to raise money and connect with the community. You often already know some parents who have their own business and may want to advertise. Connecting to your local music store is also a good option.
