Some people cry when they hear those words. Others do a dance of excitement. But let’s face it… most moan. Production reports are notorious for being tedious to produce. This frustration is compounded by the fact that after you create them, they are often given the stamp of approval and put away – never to be looked at again. (unless something goes wrong.)

Free Excel Inventory Templates
Production reports are created for a variety of reasons, including tracking work hours, safety records, union requirements, and tracking progress. Although they are often considered optional on very small shoots, they are necessary for larger projects.
Production reports look alike, and they shouldn’t. Exactly what is included in a report will vary depending on the needs of the project. However, there is a general standard layout that most templates are based on.

List the day you started production, the scheduled finish date and then the estimated finish date. This helps producers see if you’re behind schedule and, if so, by how much.
This part is important. This is where you list the recorded times of the day, such as when the lunch break was taken and when wrap was called. Remember, these are not the times that are in
For now. The number of actual days starts at 0 and you add one day to it with each passing day. This section is a detailed breakdown of the shooting progress and how you’ve been able to stick to your schedule.
This section lists the scenes shot and some details about them. These often look similar to the scenes on the call sheet, but they’re not always the same, depending on what you actually managed to shoot that day.
Free Daily Progress Report Templates
A list of scene numbers/names that were on schedule but not shot that day.
This section is important: Here you list how many covers were taken and how many rolls were taken. Keeping track of the number of scenes, pages and setups taken is something the script supervisor usually does. The number of camera rolls and sound rolls should be monitored by the respective departments.
This section is for specific notes about coverage taken that day. (Example: “We only shot the first half of scene 20b”) You can also list any audio notes – in particular, be sure to note if wildtracks or room tones were taken that day.
Here you should make a list of which players worked that day, as well as the main times of their day. The exact time you’ll track here depends on the level of recording you’re doing. On small projects, you may only need to track input and output times. For union fairs, timekeeping will be more detailed, including check-in and check-out times for all meals. Sometimes this section will also indicate if cast members had non-deductible breakfasts, forced calls, or overtime.
Best Production Schedule Templates (excel, Word)
Here you list the different groups of extras or standins called that day. Include at least the amount of extras and a brief description. Also list what time they arrived, what time they ate (if any), and what time they were dismissed.
To make things “official”, Production Reports are often printed and signed by project leaders. In union surveys, the Production Report is actually a legally binding document, so it is important that it is officially approved with a signature. For smaller projects, this is optional.
Like a call sheet, the back of the production report lists all the crew members, grouped by department. In addition to each person’s name and position, this section should list everyone’s actual check-in and check-out times and their total duration. On larger sessions, production reports should also list all meal penalties or other adjustments for crew members.
While this section is definitely optional, it’s great to include! It lists the totals of crew statistics for the day and shows how they compare to the averages for that shoot. It’s useful to compare a particular day to an “average” day in your session. If you use a software tool to create your report, these metrics will be calculated automatically.
Creating A Template
Here you can post general notes about the day or further explain any information about the report. Try to write something on it so it doesn’t look like you forgot about it, even if it’s something as simple as, “The day went according to schedule and no notable incidents occurred.”
